We Deleted 1,080 Hours of Invoice Data Entry a Year
~200 invoices a month, typed into the ERP by hand. See how an agent took over the entire cycle — and lost invoices with it.

Every month, around 200 invoices landed in BAU Holding's inboxes — a handful from each supplier, scattered across email threads. Two people spent roughly 90 hours between them doing the same thing on repeat: open the email, type the invoice into the ERP, check whether it had been paid. Slow, tedious, and fragile.
The problem
Because the entire process lived in email and ran on manual entry, invoices slipped through the cracks. One buried in a thread, one missed on a busy day — and a supplier would call about a payment that never got logged. This wasn't a rare accident; friction with suppliers over lost or unrecorded invoices was a routine part of every month. And every hour spent copying numbers from a PDF into the ERP was an hour two employees couldn't spend on anything that actually needed them.
What we built
We automated the entire invoice cycle, end to end.
The system watches for incoming invoice emails and pulls them in on its own — nobody has to forward or flag anything. For each invoice, it checks whether the invoice and its supplier already exist in the system, then writes the data straight into the ERP. When something is missing — a detail that isn't on the invoice, or a supplier that isn't yet on file — it emails the supplier automatically to request exactly what it needs, and picks the process back up when the answer arrives.
In short, for every invoice the system:
Finds it — monitors the inbox and identifies invoice emails automatically
Checks it — matches each invoice and supplier against existing records
Files it — enters the data into the ERP with zero manual keying
Chases it — emails suppliers on its own for anything that's missing

Results
~90 hours a month back — about 1,080 hours a year, the equivalent of nearly 6.75 person-months returned to the team
